Action 6: Project management and monitoring

This is the management part of the project. Among the main tasks of the beneficiaries involved there were the organization of exchanges of information necessary to the advancement of the research and the preparation of the report for the European Commission.

This action involves:

  • Appointment of the Project Managing Committee (PMC);
  • Preparation of stamps containing the Life logo and the reference to the project code, and distribution of them among the Beneficiaries;
  • Preparation of the partnership agreements, distribution to the Beneficiaries and signature of the pertinent documents;
  • Definition of a procedure for the circulation of technical and administrative documents among the partners;
  • Creation of tools to support project and actions management (website, mailing list, list of phone and fax contacts), to promote communication between the partners (exchange of e-mails with reminders, alerts, news) and to circulate documents (creation of an intranet area in the project website), reports, drafts and data required to monitor the status of the project;
  • Organization of meetings to discuss management strategies, including monitoring approaches, of the overall project and specific actions.

Summary of the Action

The project management activities are currently underway since the beginning of the project. The following actions have been completed:

  • Appointment of the Project Managing Committee (PMC) according to the scheme;
  • Preparation of stamps containing the Life logo and the reference to the project code, and distribution of them among the Beneficiaries;
  • Preparation of the partnership agreements, distribution to the Beneficiaries and signature of the pertinent documents;
  • Definition of a procedure for the circulation of technical and administrative documents among the partners, as reported in articles 11 and 14 of the partnership agreements;
  • Creation of tools to support project and actions management (website, mailing list, list of phone and fax contacts), to promote communication between the partners (exchange of e-mails with reminders, alerts, news) and to circulate documents (creation of an intranet area in the project website), reports, drafts and data required to monitor the status of the project;
  • Organization of two meetings to discuss management strategies, including monitoring approaches, of the overall project (Rome, February 2010) and specific actions (Cagliari, March 17 2010). Frequent (almost on a daily basis) contacts between the partners have occurred in the timeframe between meetings using phone, e-mail and skype communication.
